    These Booking Terms & Conditions ("Booking Terms") govern all hotel reservations and accommodation bookings made through HotelScope. They supplement and are incorporated into our [[terms-of-service|Terms of Service]]. In the event of a conflict between these Booking Terms and the Terms of Service regarding booking-specific matters, these Booking Terms control.


    1. Agency Relationship

    HotelScope acts as a travel agent and facilitates bookings between you and the hotel, property, or accommodation supplier ("Supplier"). HotelScope is not a hotel, accommodation provider, or the seller of travel services in its own right.

    When you complete a booking through HotelScope, your contract for the accommodation itself is with the Supplier, not with HotelScope. The Supplier is responsible for providing the accommodation in accordance with its own terms and conditions.

    HotelScope is responsible for accurately transmitting your booking request to the Supplier and communicating the Supplier's confirmation to you.


    2. Booking Confirmation

    2.1 Confirmation Process

    A booking is not confirmed until you receive a written confirmation email from HotelScope containing:

    • A booking reference number
    • The hotel name, address, and contact information
    • Check-in and check-out dates
    • Room type and number of guests
    • Total price paid or to be paid
    • The Supplier's cancellation policy

    Do not assume your booking is guaranteed based solely on completing the payment form.

    2.2 Confirmation Delays

    In rare cases, Supplier confirmation may be delayed. If you have not received a confirmation email within 24 hours of completing your booking, contact us at [PLACEHOLDER — support@hotelscope.ai].

    2.3 Booking Errors

    You are responsible for reviewing all booking details (guest name, dates, room type, number of guests) before completing the booking. Corrections to confirmed bookings may not be possible or may incur fees charged by the Supplier.

    If HotelScope transmits your booking with an error due to our system, contact us immediately and we will work with the Supplier to correct it at no charge to you.


    3. Pricing and Fees

    3.1 Displayed Rates

    Rates displayed on HotelScope are provided by third-party Suppliers and are subject to change until your booking is confirmed. The rate shown at checkout is the rate you will be charged, subject to the price error provisions in Section 3.3.

    3.2 Taxes and Fees

    Unless expressly stated otherwise, displayed prices include applicable taxes and fees unless the checkout page indicates otherwise. Some hotels charge resort fees, parking fees, or city taxes directly at the property — these are not included in HotelScope's displayed rate and will be disclosed where known.

    Destination / Resort Fees: Some properties charge mandatory fees (e.g., resort fees, facility fees) that are collected at the property and are not included in your payment to HotelScope. Where we are aware of such fees, we will disclose them at the time of booking.

    3.3 Price Errors

    In the event of a manifest pricing error (e.g., a hotel room displayed at $0, $1, or an otherwise obviously incorrect amount), HotelScope reserves the right to cancel the booking and issue a full refund of any amount charged. We will notify you promptly by email if this occurs.

    3.4 Currency

    Unless otherwise specified, all prices are in US Dollars (USD). HotelScope is not responsible for foreign exchange fees charged by your bank or card issuer.


    4. Payment

    Payment is processed by Stripe, Inc. at the time of booking. By completing a booking, you authorize the charge to your selected payment method for the total amount shown at checkout.

    Depending on the rate type:

    • Pay Now rates: Charged immediately at booking

    All charges are made in USD unless otherwise disclosed.


    5. Cancellations

    5.1 Supplier Cancellation Policy Governs

    The Supplier's cancellation policy is the primary governing policy for your booking. Cancellation policies vary widely and are disclosed at the time of booking. Common policy types include:

    • Free cancellation before [date/time]: Full refund if cancelled before the stated deadline
    • Non-refundable: No refund under any circumstances
    • Partial refund: A portion of the booking cost is refunded if cancelled before a stated deadline

    5.2 How to Cancel

    Important: Cancellation deadlines are based on the local time at the hotel property, not your local time.

    5.3 Cancellation Fees

    HotelScope does not charge a separate cancellation fee. However, the Supplier may charge a cancellation fee per their stated policy. Any Supplier cancellation fee will be deducted from your refund.

    5.4 Non-Refundable Rates

    If you booked a non-refundable rate, no refund will be issued for any cancellation, regardless of the reason, including illness, travel disruptions, or personal emergencies. HotelScope strongly recommends purchasing travel insurance for non-refundable bookings.

    5.5 Refund Processing

    Where a refund is owed, it will be credited back to your original payment method. Refunds typically appear within 5–10 business days, depending on your card issuer's processing time.


    6. Modifications

    6.1 Modifying a Booking

    Modifications to confirmed bookings (e.g., changing dates, room type, or guest count) are subject to Supplier availability and policy. Not all Suppliers allow modifications — in some cases you may need to cancel and rebook.

    6.2 Modification Fees

    The Supplier may charge a modification fee. HotelScope will inform you of any fees before processing a modification.


    7. No-Show Policy

    If you fail to check in on your reservation date without prior cancellation:

    • You will be charged the full booking amount (including nights not stayed), per the Supplier's no-show policy
    • The Supplier may release your room for resale
    • HotelScope is not responsible for no-show charges imposed by the Supplier

    If you anticipate arriving late, contact the hotel directly using the contact information in your confirmation email.


    8. Early Departure

    Checking out of the hotel before your reserved checkout date constitutes an early departure. Most hotels will charge you for the full reserved stay. HotelScope is not responsible for early departure charges imposed by the Supplier.


    9. Room Descriptions, Photos, and Amenities

    9.1 Third-Party Content

    Hotel names, descriptions, photos, star ratings, amenity lists, and other property content displayed on HotelScope are provided by third-party Suppliers, data providers, or the properties themselves. HotelScope does not independently verify the accuracy or completeness of this content.

    9.2 No Guarantee of Accuracy

    HotelScope makes no warranty that:

    • Photos accurately represent the current condition of the property or room
    • Amenities listed will be available during your stay
    • Star ratings reflect any official government or industry grading scheme
    • Room sizes, bed configurations, or views match the description

    If a hotel's amenities or condition do not match what was described at the time of booking, your remedy is with the Supplier directly. HotelScope will assist in facilitating communication where possible.

    9.3 Special Requests

    Special requests submitted at the time of booking (e.g., high floor, early check-in, connecting rooms) are passed to the Supplier but are not guaranteed. Special requests are subject to availability and the Supplier's discretion.


    10. Check-In Requirements

    10.1 ID and Credit Card at Check-In

    Most hotels require guests to present:

    • A valid government-issued photo ID (passport or driver's license)
    • A credit or debit card for incidental charges (security deposit)

    HotelScope is not responsible if you are denied check-in due to failure to present required identification.

    10.2 Minimum Age at Property

    Some hotels have minimum age requirements for the lead guest (commonly 18 or 21 years old). Age restrictions are set by the Supplier and will be disclosed where known. HotelScope is not responsible if the Supplier refuses a booking due to the lead guest's age.


    11. Force Majeure

    HotelScope is not liable for cancellations, delays, or failures to fulfill bookings caused by events beyond HotelScope's or the Supplier's reasonable control, including but not limited to:

    • Natural disasters (earthquakes, floods, hurricanes)
    • Pandemics or public health emergencies
    • Acts of war, terrorism, or civil unrest
    • Government travel advisories, restrictions, or border closures
    • Strikes, labor disputes, or infrastructure failures

    In force majeure situations, refund entitlement depends on the Supplier's policy. HotelScope will work in good faith to assist you in obtaining a refund or rebooking where possible, but cannot guarantee any particular outcome.

    Travel insurance is strongly recommended for all bookings, especially non-refundable rates.


    12. Travel Insurance

    HotelScope strongly recommends purchasing comprehensive travel insurance for all bookings. Travel insurance can provide coverage for:

    • Trip cancellation for covered reasons (illness, injury, death in family)
    • Trip interruption
    • Medical emergencies while traveling
    • Baggage loss or delay

    13. Supplier Terms

    By booking through HotelScope, you may also be bound by the terms and conditions of the Supplier. Where available, Supplier terms will be displayed during the booking process. You are responsible for reviewing the Supplier's terms before completing your booking.


    14. Limitation of Liability for Bookings

    In addition to the limitations in our [[terms-of-service|Terms of Service]], HotelScope's liability in connection with a hotel booking is limited to:

    • The booking service fee or commission HotelScope earned on your booking; or
    • The direct damages you suffered due to a booking error caused by HotelScope's sole negligence

    HotelScope is not liable for:

    • The acts or omissions of the Supplier (including hotel quality, safety, or service issues)
    • Loss of enjoyment, inconvenience, or consequential damages
    • Changes the Supplier makes to your booking after confirmation (e.g., room changes, overbooks)
    • Force majeure events

    If the hotel fails to honor your confirmed booking (e.g., due to overbooking), HotelScope will make reasonable efforts to assist you in finding alternative accommodation or obtaining a refund, but is not liable for any incremental costs you incur.
